Informal Reviews Using Interfolio Dossier
An informal review is an optional, unit-driven evaluation that is not required by policy and is conducted using methods selected by the chair, dean, or their designee. Because it is not an official review assigned in the Interfolio Review, Promotion & Tenure system, units may still choose to use Interfolio to organize materials consistently and streamline how feedback is gathered and documented.
Frequently Asked Questions & Resources
RPT (Review, Promotion, and Tenure) is the Interfolio electronic system by which faculty members submit their materials and are evaluated for mandatory and voluntary reviews associated with continuation or renewal, promotion of rank, and/or tenure. These reviews and the schedule by which they occur are set by University policy and procedures. Informal reviews, discussed below, are not managed in RPT.
Annual faculty performance reviews are distinct from mandatory and voluntary faculty rank reviews for continuation or renewal, promotion of rank, and/or tenure. Annual faculty performance reviews are required for all full-time regular faculty and are associated with merit pay processes. Therefore, annual faculty performance reviews are not managed in RPT.
A review process required by University policy for faculty rank continuation or renewal, promotion of rank, and/or tenure. The schedule for mandatory reviews is set in policy and described in procedures. The dean and/or provost may assign an additional mandatory review outside of the set schedule; these are referred to as “mandatory off-cycle reviews.” All mandatory reviews, including off-cycle, are managed in RPT. Per policy, your mandatory review schedule could be changed due to approved and qualified leave.
Faculty will receive an annual notification of their upcoming mandatory review, if any, via their Baylor email account. Faculty will acknowledge that the information is correct or submit any corrections in Ignite. Additionally, your chair or associate dean can answer questions about your mandatory review schedule by consulting your record in the Lifecycle Management system. Other questions about your mandatory review schedule should be directed to the senior coordinator of faculty appointments and policy.
The published procedures document for each faculty type offers a process for seeking early review for a mandatory promotion. The approval process for this request is handled outside of RPT. The process, if approved, will follow all current procedures and be managed in RPT.
An optional faculty promotion review process as set in University policy. All voluntary reviews are managed in RPT.

No. Your unit may have a practice of providing informal reviews related to rank in between the mandatory reviews set by the mandatory review schedule. These may occur in Dossier (an Interfolio module). See Procedures for informal review using Interfolio dossier.
You will be notified by Baylor email when your case is open. Release dates for the upcoming academic year will be published on this page.
Yes, you will retain access to your previously submitted packets in RPT and all documents you uploaded will automatically transfer to your Baylor Dossier. You can use these to update your current packet as needed.
All current procedures documents are published online on the Office of the Provost website. Procedures are based on your faculty track and your mandatory review schedule.
External letters are requested by the chair, or similar leader as designated by the dean, through RPT and are automatically attached to your packet when submitted by the letter writer. For a full explanation of the process, see the Requesting External Letters Procedures document published on the Office of the Provost website.
There is an initial administrative step in the workflow at the departmental level that serves as a critical checkpoint—a human touch before the case enters the formal faculty review process. This step provides a brief grace period for you to correct any errors or omissions before your materials are sent forward in the workflow. Once the packet moves to the faculty for review, you are unable to make changes.
Your procedures document and the Steps in RPT section in the Review, Promotion, and Tenure Guidebook provide an overview of the evaluation steps including who can view your packet at each stage.
No, but your procedures document and the Steps in RPT in the Review, Promotion, and Tenure Guidebook give you a sense of the evaluation steps and timeline.
The Office of the Provost hosts training sessions for candidates as well as departments and case managers. Training sessions will be published on this page and appropriate people will be invited.
