Hiring Full-Time Faculty

Interfolio Guides

  • Creating and submitting a position.
  • Assigning/changing a status. 
  • Submitting an applicant for approval to hire.
Step 1: Review the Hiring Process for Faculty

Submit faculty position requests via the faculty hiring proposal form available through your business officer when a position is vacated, or a new line is desired. Requests to hire tenured faculty should be sent prior to the submission of the faculty hiring proposal form. This request should be sent to the Office of the Provost for review.

Once the new position has been approved by the Office of the Provost, please complete the following steps:

  1. Establish a search committee.
  2. Establish the search in Interfolio (please contact your college/school business officer if you have questions regarding Interfolio).
  3. Pursue all possible means to identify and invite promising candidates to apply. This will be summarized in your submission of finalists to the Office of the Provost and should not just confirm that appropriate channels have been followed but also demonstrate that effort has been exerted to maximize the ability to locate candidates who are professionally excellent, mission-supportive, and diverse.
  4. Attend one of the Faculty Search Seminars sessions hosted by the Office of the Provost (have the search chair, any or all search committee members, business officer, and the dean attend) on faculty hiring procedures.
  5. Distribute the Office of General Counsel's Key Legal Considerations in Hiring document to all faculty who may participate in interviewing/hosting candidates.
  6. Use the pre-approved external advertising template.
  7. Keep copies of all faculty position ads, and maintain a list of any URLs used during the search process. This is particularly important when a foreign national is hired because the ads may be used to aid the new hire in obtaining a green card.
  8. Refer to the Faculty Positions Advertising List document for resources for job postings. Baylor University has an institutional membership with several organizations, some of which have no-cost job board announcements.
  9. Interfolio will secure and maintain appropriate affirmative-action information.
Step 2: Create a Position Requisition in Interfolio

Step 3: Candidate Review & Faculty Interview Process
Before the Interviews
  1. Ensure that all final candidates meet the university's objectives in terms of academic preparations/potential and Christian commitment.
  2. Submit candidate files through Interfolio for approval to interview. Your dean will contact the Office of the Provost to schedule interviews once the candidate has been approved.
  3. Contact Rachel DeShong for questions concerning scheduling interviews. Please note: Scheduling an interview may be delayed if the file is not complete.
  4. The hiring unit's dean or department chair needs to submit a faculty certification of credentials form and a religious affiliation form on file in Interfolio for each final candidate coming to campus for interviews.  
During the Interviews
  • Standardize the questions you are asking each candidate. 
  • Do not make observations related to prohibited considerations. 
  • Save your notes. 
After the Interviews
  • For tenure-track or tenured positions, record your tenured faculty vote on the faculty hiring proposal form. The hire request will not be forwarded through the system until the form is complete.

If you need to hire faculty on a temporary basis or if you do not have the approval to fill a regular faculty position, please contact your business officer.

Step 4: Update Status & Add Disposition Codes

Upon the completion of the interviews, please update the position status, applicant status, and disposition code of each candidate in Interfolio. Only the department chair or dean can update the status and disposition code.

Step 5: Final Paperwork & Hiring

At the end of a search, committee chairs and administrators can close a position and indicate whether or not they have selected one or more applicants to fill the position. A full guide on this process is below. 

Notes on Hiring
  • For tenure-track positions, if the faculty member has not completed the terminal degree, the contract generated will indicate that the faculty will be appointed as a lecturer if the degree is not conferred prior to arriving on campus.
  • Once you have received confirmation that the Office of the Provost has officially approved the hiring of your candidate, it is permissible for you to contact the candidate and let them know a contract is being generated. You may not make an offer to the candidate -- only the president or provost is authorized to do so, and it comes in the form of a contract.
  • When an offer of employment has been approved by the Office of the Provost, the academic unit business officer will generate an employment contract in TCM and issue it to the candidate via DocuSign.
  • Upon receipt of a copy of the signed contract (via DocuSign), HR will begin onboarding the new employee.
